AI Operations Starter Kit
Five skills extracted from running an AI-powered empire across nine businesses. This is the entry pack — for the person who keeps hearing "you should be using AI" without anyone explaining where to start.
Who this is for
- Small business owners who haven't figured out what AI is actually for
- Ops leads tired of manual data entry and template-filling
- Anyone who has ChatGPT open and doesn't know what to type into it
This is not a prompt-engineering masterclass. It's a list of five jobs in your business that AI does better than a human assistant — with the exact prompts and the exact workflow.
What's inside
01. The Customer Email Triage
The job: sort your inbox by urgency without reading every email.
The prompt template (paste into ChatGPT, Claude, or Gemini):
You are my inbox triage assistant. I'm going to paste a batch of emails
from the last 24 hours. Sort each into one of four buckets:
P0 - Customer is upset / about to churn / has a complaint
P1 - Customer needs a real answer that only I can give
P2 - Customer is asking something the FAQ already covers
P3 - Newsletter / spam / can be archived
For P0 and P1, write a one-sentence summary of what they need.
For P2, suggest the FAQ answer they should be sent.
For P3, just tag and move on.
Here are the emails:
[paste]Run it every morning. You'll save 30 minutes and never miss a P0 again.
02. The Meeting Note Compressor
The job: turn a one-hour meeting recording into a structured action list.
The prompt template:
You are my meeting-notes compressor. I'm pasting a raw transcript.
Output exactly:
## Decisions made
- [bullet list]
## Action items
- [Owner] - [Task] - [Deadline]
## Open questions
- [bullet list]
## One-sentence summary
[for sharing with people who weren't in the meeting]
Transcript:
[paste]Pair this with any recording tool (Otter, Fathom, Granola, even your phone's voice memos transcribed). Five minutes after the meeting, you have the deliverable.
03. The Customer Interview Synthesizer
The job: pull patterns from 10+ customer interviews without re-reading them all.
The prompt template:
I'm going to paste 10 customer interview transcripts. For each, the
customer is describing why they bought (or didn't buy) my product.
Output:
## Top 5 reasons customers BOUGHT (with counts)
## Top 5 reasons customers DID NOT BUY (with counts)
## Exact quotes I should use in marketing copy (5-7)
## Patterns I haven't noticed before
Transcripts:
[paste]This used to take a junior researcher two days. It now takes 5 minutes.
04. The Document Drafter
The job: produce a first draft of any business document — SOP, proposal, sales page, job description, vendor agreement — in under 10 minutes.
The prompt template:
You are my [document type] drafter. Here's the context:
- Business: [describe in 2 sentences]
- Audience: [who reads this]
- Goal: [what should they do after reading]
- Tone: [professional / casual / formal / persuasive]
- Length: [word count target]
Write a first draft. Use clear section headers. Avoid jargon.
End with three places I should personalize before sending.
Topic / brief:
[your topic in 3-5 sentences]First drafts are 70% of the work. AI nails first drafts. You spend your time on the 30% that's specific to your situation.
05. The Decision Memo Builder
The job: stop spinning on hard decisions. Get a structured memo in 5 minutes.
The prompt template:
I'm facing a decision. Help me think through it.
Decision: [describe in 2 sentences]
Options I'm considering: [list 2-4]
Constraints I'm working with: [time / money / people]
What I'm afraid of: [the failure mode that keeps me up]
Output a memo with:
## The decision in one sentence
## Options compared on (cost, time, reversibility, risk)
## What you would do, and why
## What I should sanity-check before committing
## The question I haven't asked myself yetThe last line — the question you haven't asked yourself — is where AI earns its keep. It's a second brain that hasn't been marinating in your fears for the last three weeks.
How to install
- Pick ONE prompt from the five above. Don't try to run all five this week.
- Use it three times in the next seven days. Pay attention to the specific places it fails or surprises you.
- Customize the prompt template with your context (your business, your audience, your tone). Save the customized version.
- Move to the next prompt next week.
After five weeks, you have five working AI workflows that handle the boring 30% of your week.
Which AI tool?
For these five, any of them work:
- ChatGPT (OpenAI) — most familiar, free tier handles all five
- Claude (Anthropic) — strongest at long documents and synthesis
- Gemini (Google) — best if you're already in Google Workspace
Pick one. Don't pick all three.
Why this works
The mistake most people make with AI is treating it like Google — typing a question and reading the answer. That's not AI's superpower. AI's superpower is structured output on messy input. These five prompts are designed to do exactly that.
Your job is to feed it messy input from your real business and read structured output you can act on. The minute you stop trying to make AI "creative" and start using it for structure, the time savings show up immediately.
